Just do what a lot of other artists do: Use invoices. It removes the possibility of someone messing up and mentioning the wrong thing in the payment note.

I favor asking for an invoice anyways, and if something is said in the invoice linking back to a gallery, I usually talk to the artist to reject the invoice and send out a "blank" invoice instead.
